Bodytunes Dance and Wellness LLC - Company Policies

Registration and Enrollment
Initial Registration
All new students must complete a one-time registration process before attending classes:
- Registration Fee: $20 per student (non-refundable)
- Required Documentation: Registration and waiver forms must be completed before the first class
- Registration Validity: Registration remains active as long as the student maintains continuous enrollment
Registration fees cover administrative costs, student records management, and liability insurance processing.
Re-Registration
Students who have been inactive for more than 90 days must complete a new registration and pay the registration fee again to ensure current contact information and liability waivers are on file.
Class Offerings and Fees
Monthly Class Tuition
Monthly tuition is based on regular weekly attendance and provides the best value for committed students:

Zumba Gold and Gold Chair classes are scheduled during 10am-5pm time windows to accommodate active older adults and those seeking low-impact fitness options.
Drop-In Classes
Drop-in rates are available for students who cannot commit to monthly enrollment:
- Drop-in students must pay the per-class rate before each class
- Drop-in students are welcome on a space-available basis
- No registration fee is required for drop-in attendance, but liability waivers must be completed before the first visit
- Drop-in students do not qualify for makeup classes
Payment Policies
Payment Methods
Bodytunes Dance and Wellness LLC accepts the following payment methods:
- Zelle: No additional fees
- Credit/Debit Card: $3 processing fee applies per transaction
Monthly Tuition Payment Terms
- Payment Due Date: Monthly tuition is due on or before the 1st of each month
- Advance Payment Requirement: All monthly students must pay in advance for the upcoming month of classes
- Late Payment: A $10 late fee will be assessed for payments received after the 5th of the month
- Insufficient Funds: A $35 returned payment fee will be charged for any declined or returned payments
Payment Plans
For families enrolling multiple students or taking multiple classes, payment arrangements can be discussed on a case-by-case basis. Contact management to discuss your specific needs.
Delinquent Accounts
Students with accounts more than 30 days past due will not be permitted to attend classes until the balance is paid in full. Continued non-payment may result in termination of enrollment and referral to collections.
Attendance and Makeup Class Policy
Regular Attendance Expectations
Regular attendance is essential for student progress and class continuity. We understand that occasional absences are unavoidable due to illness, family emergencies, or scheduling conflicts.
Absence Notification
- Students (or parents/guardians for minors) must notify the instructor or studio at least 2 hours in advance when unable to attend a scheduled class
- If more than 2 classes will be missed in a month (travel/vacation plans, etc.), notify the studio before the monthly session starts
Makeup Class Eligibility
For missed classes due to unforeseen events, sickness, or other valid circumstances, makeup sessions will be offered based on availability:
- Space Availability: Makeup classes are subject to space availability in alternate class times
- Advance Scheduling Required: Students must contact the studio to schedule the makeup class in advance
- Timely Notification Required: The 2-hour advance notice rule applies for standard missed classes
Multiple Absences
If a student misses more than one class in a month (beyond the one allowed absence with makeup):
- No additional makeup classes will be provided
- No refunds or credits will be issued for missed classes
- Students remain responsible for the full monthly tuition payment
Missed Makeup Classes
If a student fails to attend their scheduled makeup class:
- No additional makeup opportunities will be provided
- No refunds or credits will be issued
Extended Absences
For extended absences due to medical reasons, family emergencies, or other extenuating circumstances, students should contact management to discuss options. Each situation will be evaluated on a case-by-case basis.
Refund and Cancellation Policy
Monthly Tuition Refunds
Bodytunes Dance and Wellness LLC maintains a limited refund policy to ensure fair treatment while protecting the financial stability of our small business:
- Advance Absence Notice: Notify the studio at least 2 hours in advance if you are going to miss a session
- Makeup Sessions for Missed Classes: For missed classes due to unforeseen events or sickness, makeup sessions will be offered based on availability
- Travel/Vacation Notice: Notify the studio before the monthly session starts if more than 2 classes will be missed
- No Refunds After Services Begin: Once the monthly class session has started, tuition is non-refundable
- Withdrawal Requires Written Notice: Students wishing to discontinue must provide written notice via email at least 7 days before the next billing cycle
Drop-In Class Refunds
Drop-in class fees are non-refundable once paid. Students who are unable to attend a drop-in class for which they have paid may request to apply the payment toward a future drop-in class within 30 days, subject to approval.
Case-by-Case Consideration
While our standard policy is outlined above, we recognize that exceptional circumstances may arise. Management will consider refund requests on a case-by-case basis for situations including but not limited to:
- Serious medical emergencies or prolonged illness documented by a healthcare provider
- Unexpected relocation outside the service area
- Studio closure or inability to provide contracted services
- Other extraordinary circumstances beyond the student's control
To request case-by-case consideration:
- Submit a written request via email explaining the circumstances
- Provide any relevant supporting documentation
- Allow 5-7 business days for management review and response
Management reserves the right to approve, partially approve, or deny refund requests based on the individual circumstances and studio policies.
Withdrawal and Discontinuation
Notice Requirements
Students wishing to discontinue classes must provide written notice via email at least 7 days before the next billing cycle to avoid being charged for the following month.
- Email notification should be sent to the official Bodytunes contact email
- Verbal notification to instructors or staff is not sufficient
- Students remain responsible for payment through the end of the current paid period
Account Closure
Upon proper withdrawal notification:
- Access to classes will continue through the end of the paid period
- No refunds will be issued for the current month's tuition
- Student records will be marked as inactive after 90 days
Re-Enrollment
Students who wish to re-enroll after discontinuing must:
- Complete a new registration if inactive for more than 90 days
- Pay any outstanding balances from previous enrollment
- Pay the current registration fee if applicable
Health and Safety Policies
Medical Conditions
Students (or parents/guardians for minors) must disclose any medical conditions, injuries, or physical limitations that may affect participation in dance and fitness activities on the registration form.
Illness Policy
- Students who are ill, feverish, or experiencing contagious symptoms should not attend class
- Illness-related absences are covered under the standard attendance and makeup class policy
- The studio reserves the right to send home students who appear ill during class
Injury and Medical Emergency
- Students must inform instructors immediately of any pain, discomfort, or injury during class
- Instructors are not medical professionals and cannot diagnose or treat injuries
- In case of serious injury or medical emergency, emergency services (911) will be contacted, and the emergency contact on file will be notified immediately
Liability Waiver and Release
Assumption of Risk
Dance and fitness activities involve inherent risks including but not limited to muscle strains, sprains, falls, collisions, and other injuries. By enrolling in classes at Bodytunes Dance and Wellness LLC, students (and parents/guardians for minors) acknowledge and accept these risks.
Liability Release
Students and parents/guardians agree to release and hold harmless Bodytunes Dance and Wellness LLC, its owner, instructors, employees, and agents from any and all claims, demands, causes of action, or liability for injury, death, or property damage resulting from participation in dance and fitness activities.
Photography and Video Release
BodyTunes Dance and Wellness LLC may photograph or video record classes, performances, and events for promotional, instructional, or archival purposes. By enrolling, students (and parents/guardians for minors) consent to such recordings and their use in studio marketing materials, social media, and websites unless they submit a written opt-out request.
Class Conduct and Expectations
Student Behavior
All students are expected to:
- Treat instructors, staff, and fellow students with respect and courtesy
- Follow instructor directions and studio rules at all times
- Arrive on time and prepared for class with appropriate attire and footwear
- Maintain a positive and supportive attitude in class
- Refrain from disruptive behavior, excessive talking, or use of electronic devices during class
Disciplinary Action
Students who engage in disruptive, disrespectful, or unsafe behavior may be:
- Verbally warned by the instructor
- Asked to sit out for the remainder of the class
- Required to have a parent/guardian conference before returning to class (minors)
- Suspended or permanently dismissed from the studio without refund
Parent/Guardian Conduct
Parents and guardians of minor students are expected to:
- Respect the instructional space by not entering the classroom during class unless invited by the instructor
- Supervise children in waiting areas before and after class
- Communicate concerns or questions respectfully with instructors or management outside of class time
Studio Policies and Procedures
Class Size and Scheduling
- Minimum enrollment requirements may apply for specialty classes
- Bodytunes reserves the right to cancel, combine, or reschedule classes with insufficient enrollment
- Students will be notified of any schedule changes and offered alternative class options or refunds for cancelled sessions
Studio Closures
- In the event of emergency closures (severe weather, public health concerns, facility issues), students will be notified via email and/or text message
- Makeup classes or virtual alternatives may be offered for unexpected closures
- No refunds will be issued for temporary closures beyond the studio's control
Communication
- Official communications will be sent via email and/or text to the contact information provided during registration
- Students and parents are responsible for keeping contact information current
- Check email regularly for important studio updates, schedule changes, and event announcements
Modifications to Policies
Bodytunes Dance and Wellness LLC reserves the right to modify these policies at any time. Students and parents will be notified of significant policy changes via email with at least 30 days' notice when possible. Continued enrollment after policy changes indicates acceptance of the updated terms.
